HOW TO BOOK

Reservations should be made well in advance of your preferred travel dates. To assure better availability at your first choice of accommodation, an early reservation is essential. All pricing listed is based on double occupancy. Prices are subject to change. A non-refundable deposit as stipulated is required to guarantee your booking: 30% of the total value of all land only itineraries and full payment for intra-Africa flights. International flights are not included. If your departure date is within 45 days, full payment will be required at time of booking. Intra-Africa flights are non-refundable. Final payment is due 45 days prior to departure unless otherwise specified. For bookings made for stays over the Christmas and New Year holiday season, final payment is due 90 days prior to departure. Final payment can be made in the form of credit card or bank wire transfer. Vouchers and other documents will only be issued once all services are fully paid.

NOT INCLUDED

Tour prices do not include: international air travel, meals unless specifically indicated in the itinerary, service charges for obtaining visas, laundry, beverages, or any items of a strictly personal nature and gratuities.

CANCELLATIONS

The original deposit made to secure your trip is not refundable. If a booking is cancelled between 44 days and 31 days prior to arrival, a 25% cancellation fee will be charged. Between 30 days and 8 days prior to arrival, a minimum of 50% cancellation fee will be charged. Payments for National Parks bookings are forfeited in full. Some establishments may have more stringent cancellation policies, in which case their cancellation policies will be applicable. If a booking is cancelled 7 days or less prior to arrival, a 100% cancellation fee will be charged. All cancellations must be in writing.

AIR ARRANGEMENTS

International air travel is not included in package pricing. Virginia’s African Adventures is not responsible if an airline cancels, reschedules, or delays a flight for any reason. If you miss your departure flight, it is your responsibility to work with the airline on which you are ticketed to reach your destination. Virginia’s African Adventures is not responsible for any additional expenses you may incur prior to joining your trip. Virginia’s African Adventures is not responsible for and will not provide any refund for portions of trips missed due to canceled, rescheduled, or delayed flights.

TRIP PROTECTION

We strongly advise the purchase of a travel protection plan. Forgoing trip protection could result in the loss of your travel cost and/or require more money to correct the situation. By booking with Virginia’s African Adventure’s, you acknowledge that without insurance, there may be no way to recoup any losses, costs or expenses incurred. If you choose to travel without adequate insurance coverage, we will not be liable for any of your losses howsoever arising, for which insurance coverage would otherwise have been available. Contact Travel Guard 1800-826- 5248 or Travelex Insurance Services at 800-228-9792 for trip protection insurance. Coverage must be purchased one week from initial trip deposit.

PASSPORTS

Passports are required for international travel. Your passport must be valid for at least 6 months after your scheduled return date and should have two blank pages side by side for each country you will visit for visas and immigration stamps. Visas are required for travel to many areas. Many countries also have inoculation requirements. Requirements vary by country and can change at any time. You should obtain up-to-date information from authorities of the countries involved. Virginia’s African Adventures shall not be liable for delay or denial of entry due to inability to satisfy entry requirements or entry authority’s questioning or refusal to accept proof of entry requirements.

SAFETY & RISKS

Certain risks — from natural disasters to accidents, outbreaks of illness, crime, insect-borne and other infectious diseases, environmental risks to health, terrorism and other unforeseen events — are inherent in travel. While such occurrences are beyond our control, we make substantial efforts to be prepared for such possibilities. Participants are encouraged to review the safety and travel information provided by the U.S. Department of State and Centers for Disease Control and Prevention (CDC) to learn about current security issues, travel advisories and warnings, recent embassy notices, country-specific health information, health risks you may encounter while traveling, precautions for the prevention of illness, disease and general health issues during your program and other helpful destination-specific information. By booking with Virginia’s African Adventures, you agree to assume responsibility for your own health, safety, and welfare, and acknowledge that Virginia’s African Adventures cannot guarantee your safety or health at any time.

LIMITS OF RESPONSIBILITY

Virginia’s African Adventures, tour operators and subcontractors of services act only as agents for the supplier regarding your travel, and shall not be liable for injury, damage, loss, additional expense, accident, delay, schedule change or other irregularity. Any such injury, damage, loss, additional expense, accident, delay, schedule change or other irregularity will be at your risk and cost.

ACCURACY OF INFORMATION

While every effort is made to provide accurate information on our website, Virginia’s African Adventures is not responsible for typographical errors, inaccuracies or omissions that may relate to program descriptions, pricing, and availability. Virginia’s African Adventures reserves the right to correct any errors, inaccuracies or omissions that may appear on our website, and to change or update information at any time without prior notice. If you discover an error on our website, please let us know.

MODIFICATIONS TO TERMS & CONDITIONS

Virginia’s African Adventures reserves the right at any time to update, change, modify, or revise these terms and conditions at any time. Any changes will become effective upon posting the changes, modifications or revisions to the terms and conditions. Accordingly, participants should review Virginia’s African Adventures regularly prior to travel in order to ensure they are aware of any changes.
